In this module, you will not write a letter to your congressmen. This module is for the purpose of creating templates to make it easy to write physical letters when you are ready to do so. First create your “Master Template. Cut and paste the following text (In between the ***’s) into a Word file:.
*** July 21, 2007 The Honorable William Smith 24 Pennsylvania Ave Washington, DC 07700 Dear Representative / Senator Smith, ***** Cut and paste your text here **** Sincerely, Bob Jones 150 Elm Street Pittsburgh, Pennsylvania 15202 (412) 372-4104 ***
Then do the following:
Replace Bob Jones , his address and phone number with your name, address, and phone number. You will also need to have envelopes for all of your politicians. Use page two of this Word File to type the envelope. Experiment with the file and your printer so that it looks right when you print out the envelope. You may have to set the second page to “Landscape”. Note that you should use a large, #10 envelope and fold the letter in thirds
Once you have created the “Master”, make 6 copies of it and customize each copy with the name and address of each of your politicians. Don’t forget to put the correct address in both the letter and envelope. Also don’t forget to choose “Senator” or Representative” in the salutation). You should have one for:
Print out each of the word files and proof them well before you go on, because any mistakes you make at this stage will be reproduced each time you send a letter. Make sure you proof the envelopes, too.
When send a letter to each politician, you will cut and paste your text into each of the letter templates that you have created, and print them. Print page one for the letter and page 2 for the envelope. To do this, you will have to print each page separately. Make sure to sign the letter between “Sincerely” and your name with a pen color other than black (blue is probably the best). This will make it obvious that you signed it by hand. You do not have to save the letter file unless you want to have a copy of what you have sent. You can just use it over and over each time you send a letter.
You can send letters to any senator or congressmen with the following addresses:
Name of Representative House Office Building Washington DC, 20515
